Adult day care software: a buyer's guide for center owners

What to look for, what to ask and what to avoid when choosing software for an adult day center.

Updated · Senior Center HQ

Short answer: good adult day care software records signed attendance that cannot be altered, plans transportation, bills from real attendance, keeps families informed, tracks staff and inspection requirements, and protects health information with role-based access and audit logs. For centers serving Hispanic families it must also work fully in Spanish.

What is adult day care software?

Adult day care software is a management system for centers that care for older adults during the day. It replaces paper sign-in sheets, billing spreadsheets and phone calls with one system for attendance, transportation, billing, family communication and compliance.

It is different from home care software, which schedules caregivers in clients' homes, and from assisted living software, which manages residents who live in the facility. An adult day center's day revolves around arrivals, activities, meals, rides and departures.

The 10 things it should do

  1. Signed attendance that cannot be quietly changed. Check-in and check-out with a signature, corrections added rather than overwritten, and a printable monthly report.
  2. Authorized pickups. A list of who may pick up each participant, checked at the door.
  3. Transportation planning. Van capacity including wheelchair spaces, route ordering, driver navigation and signed trip logs with mileage.
  4. Billing from real data. Invoices built from attendance and rides, payments, receipts and balances.
  5. Insurance readiness. Authorizations, member IDs, service codes and a claims summary, if you serve Medicaid long-term-care or insurance members.
  6. Family communication. A portal and arrival and departure alerts, without health details in text messages.
  7. Compliance tracking. Staff screenings and certifications with expiration dates, drills and an incident log.
  8. Participant profiles. Allergies, diets, emergency information and advance-directive status available to staff when needed.
  9. Security. Role-based access, audit logs, backups and a clear answer on whether your data shares a database with other customers.
  10. Your language. Family-facing screens, invoices and messages in the languages your families speak.

Questions to ask every vendor

  • Can an attendance record be edited or deleted after it is signed? Who can see that it was corrected?
  • Does the system plan routes, or only list stops? How does it handle wheelchair riders?
  • Is my data in a database shared with other centers?
  • Will you sign a Business Associate Agreement if we bill insurance?
  • Is every family-facing screen available in Spanish?
  • Can I export all my data if I leave?
  • What does setup include, and who imports my current data?

Florida notes

In Florida, adult day care centers are licensed by the Agency for Health Care Administration (AHCA) under Chapter 429, Part III, Florida Statutes, and rule chapter 59A-16 of the Florida Administrative Code. Inspectors review participant records, staff screening and training, and emergency drills, so software that keeps these current all year saves real time.

Florida's Uniform Electronic Transaction Act (section 668.50, F.S.) generally gives electronic signatures the same effect as handwritten ones. Confirm with your consultant how your inspectors want signed records presented.

Texting families from a business number in the U.S. requires carrier registration (10DLC). Plan a few days to a few weeks for approval.

Florida's Patient Brokering Act (section 817.505, F.S.) restricts paying or offering benefits for referrals. If your software offers referral programs, track referrals without incentives unless your attorney approves them.
