Transportation software for adult day centers
Plan every pickup and drop-off in one click, keep wheelchair riders in the right van, and get a signature at every door.
In short: Senior Center HQ calculates real driving times between your participants' homes and uses Google OR-Tools to assign them to the fewest and smallest vans with the shortest total drive. It respects seat and wheelchair capacity, arrival windows and a maximum ride time per person. Drivers get Google Maps links and QR codes, collect a signature at each door, and the system builds a monthly transportation report with miles.
The cheapest plan that still gets everyone there on time
Every van that leaves the center costs you a driver's time, fuel and wear. The optimizer weighs all of that: it prefers fewer and smaller vans, shorter routes and fewer loops, and penalizes late arrivals and long rides.
- Morning pickups, midday half-day trips and afternoon drop-offs
- Several loops per van when the schedule allows it
- A van that is still out on a loop starts its next trip later automatically
- Compares two algorithms and keeps the cheaper plan

Capacity, wheelchairs and time limits
Wheelchair-aware
Seats and wheelchair spaces are separate capacities. Riders who travel in a wheelchair are only assigned to vans with a ramp or lift.
Time windows
Set how long a pickup round may take and the maximum time any participant may spend in the van.
Balanced routes
Without optimization, participants are grouped by area. With one click, the optimizer redistributes them for the whole day.
Everything the driver needs on their phone
Turn-by-turn navigation
Google Maps links that start navigating from the driver's location, split into sections when there are many stops.
QR codes
Scan the route from the office screen to open it on the driver's phone in a second.
Recalculate from here
If a participant cancels or traffic changes the plan, the driver reorders the remaining stops from their current position.
Signature at the door
On pickup and drop-off, a family member, caregiver or the participant signs on the driver's phone.
Family notified
Families get a text when their loved one arrives at the center and when they leave.
Monthly transportation report
Trips, times, driver, who signed, miles per trip, absences and corrections, per participant, ready to print.
Frequently asked questions
What does route optimization mean for an adult day center?
It means deciding automatically which van picks up which participant and in what order, so that you use the fewest vans and the shortest total driving time while everyone arrives within the time window you set.
Does it use real driving times?
Yes. Driving times between homes come from a road-network routing engine, not straight-line distances. Live traffic is not included; drivers can recalculate from their position if conditions change.
How are wheelchair users handled?
Each participant can be marked as traveling in a wheelchair, and each van has its own number of wheelchair spaces and seats. Wheelchair riders are only placed in vans with a ramp or lift.
Do drivers need a special app?
No. Drivers sign in from their phone's browser, see only their own routes and open each stop in Google Maps.
Does the transportation log help with insurance billing?
Yes. Each signed trip and its mileage is recorded and appears in the monthly transportation report and in the service log used for claims.
